Run the whole job in one place. Not in five apps and a notebook.

Daybook is business software for HVAC, plumbing, electrical, and roofing crews. Estimates, scheduling, field techs, invoices, and payments — one system, from first call to paid.

Estimates live in a notebook

Scribbled on site, typed up at night, lost in a text thread. By the time it's sent, the customer called someone else.

Techs call in for everything

Where's the job? What did we quote? Which parts? The office becomes a switchboard instead of running the business.

Invoices chase you, not the money

Finished work sits unbilled for weeks. Then it's a spreadsheet of who owes what and awkward phone calls.

Everything in one place

From "can you come look at it?" to money in the bank.

Estimates that win work

Build estimates from ready-made templates for your trade — real line items, real prices, not a blank form. Send by email; your customer approves or declines with one click.

  • Template library seeded for your trade on day one
  • One-click approve/decline straight from the email
  • Approved estimates become scheduled jobs — nothing retyped

A field app techs actually use

Techs get their own simple login. They see their day, clock in and out, add notes and photos on site — and it all keeps working with zero signal. Everything queues on the phone and syncs when they're back in coverage.

  • Works offline in basements, attics, and dead zones
  • Job checklists so nothing gets skipped
  • Photos and notes attach to the job, not a text thread

Invoices & payments, without the chase

A finished job becomes an invoice without retyping a thing. Customers pay by card online. Repeat work bills itself on schedule, and overdue balances are visible at a glance — not buried in a spreadsheet.

  • Job → invoice in one step, line items carried over
  • Online card payments (powered by Stripe)
  • Recurring invoices for ongoing work

Scheduling, maintenance plans & the office, handled

A calendar and job board the whole office can see. Sell recurring service plans that schedule their own visits. Client records with full history, lead follow-up sequences that send themselves, time tracking and payroll runs, inventory, and a price-book catalog.

  • Maintenance plans with auto-scheduled visits
  • Lead tracking with automated email follow-ups
  • Time tracking, payroll runs, inventory, analytics
  • Review requests (Google/Yelp links) after completed jobs

AI where it actually helps

An assistant inside Daybook answers questions about your business — "what's unpaid from June?" — and helps draft estimates. Add an optional AI phone receptionist that picks up the calls you can't, and logs the lead instead of losing it.

  • Ask questions about your own jobs, clients, and money
  • Optional AI receptionist for missed calls

FAQ

Fair questions.

Yes — and that's a good thing. Techs get simple username logins for the field portal, where they see their jobs, clock in and out, and add notes and photos. They don't see your books.
The tech portal does. Clock-ins, notes, and photos are saved on the phone and sync automatically when coverage returns. Basements and crawl spaces don't stop the paperwork.
Straight from the email you send them — one click to approve or decline. No account, no app, no login for your customer.
